Privacy Policy

FlowIQ Instruments ("FlowIQ," "we," "us," or "our") provides a website (flowiqinstruments.com) and a mobile application (together, the "Services") for HVAC test-and-balance (TAB) technicians and the companies that employ them. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

By using the Services, you agree to the collection and use of information as described in this policy.

Account information. When you create an account (individually or as part of a company/organization), we collect your name, email address, password (stored as a securely hashed value — we never store or have access to your plaintext password), company/organization name (if applicable), and your role within your organization (e.g., Owner, Admin, Member). If you're invited to join an existing organization, we collect the email address you're invited with and the invitation status.

Billing information. Subscription payments are processed by our payment processor, Stripe, Inc. We do not collect or store your full card number or other sensitive payment details on our own servers — Stripe handles this directly and provides us only with limited billing metadata (such as subscription status, plan, and seat count) needed to manage your account. Stripe's use of your information is governed by Stripe's own privacy policy.

App usage & field data. When you use the FlowIQ app to perform calculations (duct traverse, air changes, hydronic balancing, valve sizing, and similar tools), we store the readings, inputs, and results you enter or save, so you can access your history and share reports. This data is tied to your account and, where applicable, your organization.

Bluetooth probe data. The app supports pairing with Testo 605 temperature/humidity probes over Bluetooth Low Energy (BLE). When paired, the app receives temperature and humidity readings directly from the probe and stores them as part of your saved readings/reports.

Note on location permission: mobile operating systems (Android, and in some cases iOS) require apps to request location permission in order to scan for and connect to nearby Bluetooth Low Energy devices — this is a platform requirement, not something FlowIQ requests by choice. We do not collect, store, or use your device's GPS coordinates or location history. Location permission, if granted, is used solely to enable Bluetooth pairing with your Testo probe.

Contact form submissions. If you submit our contact form, we collect your name, email address, company name (optional), and message, in order to respond to your inquiry.

Automatically collected information. We use standard session cookies to keep you signed in securely. We do not currently use third-party analytics, advertising, or crash-reporting tools. If this changes, we will update this policy.

We use the information we collect to create and manage your account and organization; provide, operate, and maintain the Services; process subscription payments and manage billing (via Stripe); send transactional emails (e.g., team invitations, billing receipts, responses to contact form submissions); store and let you retrieve your saved calculations, readings, and reports; maintain the security and integrity of the Services; and respond to your questions and support requests.

We do not sell your personal information, and we do not use your data for third-party advertising.

We share information only as necessary to operate the Services, with the following categories of service providers: Stripe, Inc. (payment processing and subscription billing); Resend (transactional email delivery for invites and contact form notifications); and our database and application hosting providers, which store and run the Services. These providers are only permitted to use your information as needed to provide services to us.

We may also disclose information if required by law, or to protect the rights, property, or safety of FlowIQ, our users, or others.

If you're a member of an organization, other members with Owner/Admin roles in that organization can see your name, email, and role on the organization's team management page.

We take reasonable technical and organizational measures to protect your information, including password hashing, encrypted connections (HTTPS/TLS) between your device and our servers, and encrypted database connections. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

We use only strictly-necessary session cookies required to keep you signed in and to protect your account (e.g., authentication tokens). We do not use advertising cookies, third-party tracking pixels, or cross-site tracking. Because we don't engage in tracking that "Do Not Track" browser signals are designed to address, we do not currently respond differently to those signals.

We retain your account and app data for as long as your account is active, or as needed to provide the Services. If you close your account, we will delete or anonymize your personal information within a reasonable period, except where we're required to retain it for legal, tax, or accounting purposes.

California residents (CCPA/CPRA). You have the right to know what personal information we collect, use, and disclose about you; to request deletion of your personal information; to request correction of inaccurate personal information; and to non-discrimination for exercising these rights. We do not sell or share personal information for cross-context behavioral advertising, so there is no "opt-out of sale/sharing" needed. To submit a verifiable request, email Support@FlowIQInstruments.com from the email address on your account; we will respond within the time required by law (generally 45 days, extendable once by an additional 45 days with notice).

European/UK residents (GDPR). If you're located in the EEA, UK, or Switzerland, our legal bases for processing your information are: performance of a contract (to provide the Services you signed up for), our legitimate interests (e.g., securing the Services), and legal obligation, as applicable. You have the right to access, correct, delete, restrict, or port your personal information, to object to certain processing, and to lodge a complaint with your local data protection authority. All users. Regardless of location, you can update your account information directly within the app or dashboard, or request access to, a copy of, or deletion of your data by emailing Support@FlowIQInstruments.com. We will verify your identity before fulfilling requests that involve account data.

In the event of a security incident that compromises your personal information, we will notify affected users and any required regulators without undue delay and in accordance with applicable law.

The Services are intended for use by adult HVAC professionals and are not directed at children. We do not knowingly collect personal information from anyone under 16 years of age. If you believe a child has provided us with personal information, please contact us so we can delete it.

FlowIQ is based in the United States, and the Services are hosted and operated in the United States. If you access the Services from outside the U.S., your information will be transferred to, stored, and processed in the U.S., where privacy laws may differ from those in your jurisdiction.

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date below and, where appropriate, notify you. Continued use of the Services after changes take effect constitutes acceptance of the updated policy.
